CRM vs spreadsheet

Choose the record that the team can consistently maintain.

Edition date:

The distinction that changes the decision

A spreadsheet can support a small, simple workflow when fields, access and ownership are clear. A CRM becomes more relevant when shared history, permissions, relationships and repeated handoffs exceed what the team can reliably maintain.

Check your actual workflow

Review five recent errors. Determine whether the problem came from the tool, an undefined field or an unassigned owner. Set the minimum record schema before comparing products. Migrating an inconsistent sheet can preserve the inconsistency.

Run this boundary test

Have two operators update the same sample without losing history, duplicating actions or exposing unnecessary data. Rehearse export and an ownership change.

When to pause

A larger sales team is not the only reason to change systems. Conversely, a sophisticated CRM is not evidence that the relationship record is complete.

A worked boundary decision

A shared sheet with twenty active opportunities may work when each has one owner and a dated next action. If a second operator repeatedly loses history or changes conflict, document those failures. Changing tools is justified by a specific capability requirement, not by an arbitrary company-size threshold.

If the work crosses the boundary

Keep the account identifier, field definitions and ownership rules consistent through a trial import and export. Compare a representative sample before moving the live record. Mark fields that cannot be transferred without manual reconstruction.

Use this review sequence

  1. Ask another operator to reconstruct five active records.
  2. Classify each failure as a missing field, missing owner, access problem or software limitation.
  3. Migrate only after a candidate demonstrates the actual missing capability and a recoverable export.
