Start with the work
List the data and behavior that must survive a change. History, ownership, preferences and identifiers can matter more than the fields visible on a demo screen. Keep a recoverable copy before a limited trial.
Build the working checklist
- Define a sample containing ordinary records and edge cases.
- Map fields, attachments, status and owner values.
- Check preferences, exclusions and duplicate behavior.
- Record the rollback decision and responsible operator.
Check it against a real task
Import a small sample into a trial environment and verify it item by item. Export it again and compare what remained. Document any state that cannot be transferred.
What to take away
Choose a stop condition before a migration. If a critical history or exclusion cannot be preserved, resolve that limitation before moving the live workflow.
Define what must survive
Scroll horizontally to read all columns.
| Item | Test case | Stop condition |
|---|---|---|
| Identity and relationships | A duplicate and a related account/person pair | Records cannot be matched reliably |
| History and status | An open item with several prior actions | The receiving operator loses necessary context |
| Preferences and exclusions | A record that must not enter later sends | An import resets the exclusion |
| Ownership | An active record reassigned during the trial | The next action has no accountable owner |
| Export and recovery | Export the imported sample again | Critical state cannot be recovered or reconstructed |
Use a representative rehearsal
A sample containing only clean records will miss the problems that appear after migration. Include an incomplete enquiry, a duplicate, a preference change and an active exception. Use authorized test material or a clearly labelled synthetic sample rather than exposing a live customer list during a demonstration.
Choose a rollback decision in advance
Record who can pause the trial, which record remains authoritative during the transition and how corrections return to it. Do not assume that an export preserves every attachment, relationship or workflow state. Compare the trial import and the second export field by field before moving active operations.
