Start with coverage
Define which calls the business intends to handle, the responsible team, coverage hours and a realistic fallback. A phone system can route work, but somebody must own an unanswered call and the next customer action. Number availability, account location and the use of recording or transcription need direct review for the actual business.
Prepare four call cases

| Case | Evidence to inspect |
|---|---|
| Answered call | The relevant record and responsible operator |
| Unanswered or outside coverage | A usable fallback and owned callback action |
| Transfer | The receiving operator retains the useful context |
| Duplicate or corrected contact | The call history remains associated with the intended record |
A proposed trial
- Check the intended number, destination and business eligibility before any commitment.
- Prepare controlled calls during coverage and outside coverage.
- Inspect routing, failed transfer and callback ownership.
- Verify any CRM handoff with the actual supported fields and account.
- Review recording, access and retention settings with the responsible operator before enabling them.
Compare the actual gap
Aircall and Quo are separate business-phone research profiles. Compare the same call scenarios and country requirements rather than treating a feature name as proof of coverage. Include seats, number types, calling usage, integrations and staff coverage in the cost review. This proposed exercise is not a product test.
Stop when a caller can disappear
Pause if an unanswered call has no owner, the transfer loses its context or the operator cannot distinguish recording availability from authorization to record. Measure recovered missed calls, correct handoffs and effort. A routed or transcribed call is not automatically a resolved customer issue.
