Start with the work
Software is a poor next step when a task has no owner, a low volume does not justify setup, the rules are unclear or the current system can already do the work. The fit finder includes these outcomes deliberately.
Build the working checklist
- Assign a reply and exception owner.
- Create a shared record with source, status and next action.
- Resolve the contact basis before automated campaigns.
- Measure a manual sample and test existing capabilities.
Check it against a real task
Write what would change the decision: a repeatable bottleneck, reliable data, clearer rules or a demonstrated missing capability. Revisit the category when that evidence exists, not because another product is available.
What to take away
For low-volume teams, a spreadsheet, native inbox and short written procedure may form a complete pilot. Track missed handoffs and effort so the next decision has a baseline.
Match the blocker to a practical first move

| Blocker | First move | Evidence that could change the decision |
|---|---|---|
| No owner | Assign reply and recovery responsibility | A person can complete and recover the sample |
| No shared record | Create source, status, owner and next-action fields | A second operator can reconstruct recent work |
| Low-volume economics | Measure a native-inbox or spreadsheet routine | Repeated work justifies setup and maintenance effort |
| Existing capability | Test and configure the current plan | A specific acceptance case remains unsupported |
| Unclear contact basis | Review the purpose, source and actual channel | The unresolved questions have an accountable review outcome |
A complete manual-first routine
- Review the incoming queue at agreed coverage times.
- Record the source, request, owner, status and next action.
- Use a reviewed answer for a routine item and hand exceptions to the responsible person.
- Keep preferences and exclusions visible; check overdue or unassigned items.
- Review time, mistakes and missed handoffs before reconsidering software.
Revisit a defined condition, not a marketing message
Write down what would justify a new investigation: a measured recurring bottleneck, an unsupported requirement or a reliable rule worth automating. The current process may remain the best choice. That is a valid decision even if a related provider offers a free trial.
