Review the designed inputs in the fit finder, then adapt them to your own team.
Open this example in the fit finderThe first practical move
Define company criteria, exclusion criteria and the fields required. Review ten accounts manually and record match reasons, missing data and verification dates. Keep the research separate from sending.
Why the category boundary matters
Apollo is a research candidate for this information gap. Consumer messaging automation does not match the starting signal. A later execution requirement needs its own contact-basis and reply-handling review.
What the pilot should measure
Verified matches, missing fields, stale data and research time per usable account.
This is a designed example, not a report of customer use, provider testing or measured performance. Replace the assumptions with your actual conditions before making a purchase.
The assumptions used in this example
These are designed inputs, not a measured customer case. Every assessment answer is listed below. Review the assumptions in the fit finder and change them before applying the plan to your team.

| Assessment input | Illustrative answer |
|---|---|
| What job needs to improve? | Research target accounts |
| Who is on the other side? | Small businesses |
| Where does the work start? | Target-account criteria |
| How many relevant items per month? | 25–100 |
| How long does a decision usually take? | 15–60 days |
| Where is the current record? | CRM |
| Is the contact basis documented for this task? | Research only; no campaign sending |
| What information is missing? | Company or business-contact research |
| How can records move between tools? | Reviewed CSV import |
| Who owns replies and exceptions? | A team of 2–5 |
| What is the monthly software budget? | $100–$300 |
| Capabilities already available | CRM |
| Separate production tasks | None selected |
Trace one item through the workflow
A hypothetical software team defines an organization type, geography and business responsibility. It researches ten accounts, checks match reasons and flags uncertain fields. No sequence is activated in this research example. The next owner receives only reviewed records and their sources.
A practical setup sequence
- Write the organization inclusion rules, exclusions and offer hypothesis.
- Create a small company sample before looking for individual roles.
- Use company and people criteria deliberately; verify that the relevant responsibility exists.
- Record source, review date, uncertainty and a reason to include or reject each account.
- Place reviewed records in the CRM with an owner. Review any later sending task separately.
The working record
Scroll horizontally to read all columns.
| Part of the record | What must remain visible |
|---|---|
| Account criteria | Business model, geography and relevant size or operating conditions |
| Role hypothesis | The responsibility connected to the offer |
| Verification | Source URL, review date, uncertainty and accept/reject reason |
| Handoff | Destination record, owner and next reviewed action |
What would stop the pilot
Do not expand if a meaningful share of the sample cannot be verified or if ownership and the destination record are unclear. Define a review threshold for the actual pilot; ten accounts is a planning sample, not an industry benchmark.
Count verified company matches, role relevance, missing fields, rejected records and review time. A database count, verified email status or saved list is not evidence of buying intent.
